The Wine Factor – Terms & Conditions

Welcome to The Wine Factor (“we,” “us,” “our”). Please read these Terms & Conditions (“Terms”) carefully before using our website, booking our services, or visiting our premises at 75 Station Road, London E4 7BU. By accessing or using our website, booking events or tables, purchasing products, or entering our venue, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our services.


1. Definitions

  • “The Wine Factor” or “we”: The company operating the shop, wine bar, restaurant, and event venue at 75 Station Road, London E4 7BU.

  • “Customer,” “you,” “your”: Any person or entity who visits our premises, uses our website, books an event/table, or purchases goods or services from us.

  • “Venue”: Our physical premises, including all indoor and outdoor areas, as well as private hire spaces.

  • “Services”: All products and services provided by The Wine Factor, including wine, beer, food, events, tastings, private hire, and online sales.

  • “Booking”: Any reservation for a table, event, private hire, or service made via our website, phone, email, or in person.


2. Scope

  1. These Terms apply to all interactions between you and The Wine Factor, whether online, by phone, by email, or in person.

  2. Separate contracts or agreements (e.g., private event hire agreements) may contain additional or bespoke terms; in case of conflict, the bespoke agreement prevails.


3. Modifications

  1. We reserve the right to modify these Terms at any time.

  2. Updated versions will be posted on our website with a revised “Effective Date.”

  3. Continued use of our services after any changes signifies your acceptance of the new Terms.


4. Bookings & Reservations

4.1 Table & Event Bookings

  • Bookings may be made online, by phone (020 8524 6035), or in person.

  • A valid credit/debit card or deposit may be required to secure certain bookings (e.g., large groups, private events).

  • You must provide accurate contact details and inform us of any changes promptly.

4.2 Cancellations & Amendments

  • Standard Table Bookings:

    • Cancellations up to 24 hours before incur no charge.

    • Cancellations within 24 hours incur a £10 per-person cancellation fee.

  • Private Events & Large Group Bookings (10+ guests):

    • Cancellations or amendments must be made at least 7 days prior to the event.

    • Late cancellations incur 50% of the agreed minimum spend or catering cost.

    • No-shows incur 100% of the agreed minimum spend.

  • Special Events (Wine Tastings, Live Music, Premium Evenings):

    • Unless otherwise stated, cancellations up to 48 hours prior incur no charge; thereafter ticket fees are non-refundable.


5. Payment Terms

  1. All prices are quoted in GBP (£) and include VAT where applicable.

  2. We accept major credit/debit cards and contactless payments in person; online payments are processed via secure third-party gateways.

  3. Payment is due in full upon consumption or at the time of booking for pre-paid events.

  4. Late payments may incur interest at 3% above the Bank of England base rate, compounded monthly.

  5. We reserve the right to refuse service for non-payment.


6. Menu & Pricing

  1. While we endeavour to keep our menus and prices up to date, we reserve the right to make changes at any time without prior notice.

  2. Dish descriptions may include common allergens; please inform staff of any allergies or dietary requirements.

  3. We cannot guarantee the complete absence of cross-contamination for allergens.


7. Age & Responsible Service

  1. You must be at least 18 years old to purchase or consume alcohol on our premises.

  2. We may request valid photographic ID (passport, driver’s licence) at any time.

  3. We operate a strict Challenge 25 policy.

  4. We reserve the right to refuse service to anyone who appears intoxicated, behaves abusively, or violates local licensing laws.


8. Conduct & Health & Safety

  1. You agree to conduct yourself respectfully toward staff and other customers.

  2. We reserve the right to remove or refuse entry to anyone engaging in unacceptable behaviour, including but not limited to:

    • Verbal or physical aggression

    • Harassment or discrimination

    • Vandalism or theft

  3. Smoking (including e-cigarettes) is prohibited indoors.

  4. Please follow all emergency procedures and staff instructions in case of incident.


9. Private Hire & Events

  1. Private hire is subject to availability, minimum spend, and a signed hire agreement.

  2. All décor, styling, and equipment must be approved by us in advance.

  3. External caterers or entertainers require our consent and proof of insurance.

  4. You are responsible for any damage to the venue or equipment during your hire period.

  5. We are not liable for any loss, damage, or injury incurred by guests during private events, except where caused by our negligence.


10. Website & Online Store

  1. You may browse our website and place orders for delivery or collection.

  2. All online orders are subject to availability and acceptance by us.

  3. We take reasonable care to ensure prices and product descriptions are accurate but do not guarantee the absence of errors.

  4. We reserve the right to cancel or refuse any order due to pricing errors, stock shortages, or suspected fraudulent activity.

  5. Delivery and collection terms are set out separately on our website and order confirmation.


11. Intellectual Property

  1. All content on our website, including text, images, logos, and designs, is our property or used under licence.

  2. You may not reproduce, distribute, modify, or republish any content without our prior written consent.

  3. All trademarks, service marks, and trade names are proprietary to The Wine Factor or our licensors.


12. Liability & Indemnity

  1. Our Liability:

    • We shall not be liable for any indirect, incidental, or consequential loss or damage arising from your use of our services.

    • Our total liability for direct losses shall be limited to the amount you have paid us for the relevant service.

  2. Your Indemnity:

    • You agree to indemnify and hold us harmless against any claims, damages, costs or expenses arising from your breach of these Terms or misuse of the venue or services.


13. Force Majeure

We shall not be liable for any failure or delay in performing our obligations due to causes beyond our reasonable control, including but not limited to fire, flood, strikes, pandemics, or governmental actions. In such cases, we will endeavour to notify you and, where appropriate, offer alternative arrangements.


14. Privacy & Data Protection

Your use of our website and services is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal data. Please review it carefully (link in footer).


15. Governing Law & Jurisdiction

  1. These Terms are governed by the laws of England and Wales.

  2. Any dispute arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the English courts.
